Terms of Service

These Terms of Service ("Terms") govern your use of the RehearsalRooms website and booking platform (together, the "Service"). By using the Service, creating an account, making a booking, or registering your interest, you agree to these Terms. If you do not agree, please do not use the Service.

1. About us and the Service

In these Terms, "RehearsalRooms", "we", "us", and "our" refer to the operators of the Service. You can contact us at hello@rehearsalrooms.co.uk.

RehearsalRooms provides a platform that rehearsal spaces and studios (each a "Business") use to list rooms, manage availability, take bookings, and accept payments from their customers ("Customers"). We provide the platform; the actual rehearsal space and booking are provided by the Business. Some features may still be rolling out, and we may add, change, or remove features over time.

2. Who these Terms apply to

  • Customers — people who create an account or book a room through a Business's page.
  • Businesses — the studios and rehearsal spaces (and their staff and administrators) who use the platform to take bookings. Additional terms in section 8 apply to you.
  • Visitors — anyone browsing our website or registering their interest.

3. Accounts

You must provide accurate information when you create an account and keep it up to date. You are responsible for keeping your login credentials secure and for activity under your account. You must be at least 16 years old (or the age of majority where required to enter a contract or make a payment) to use the Service. Notify us promptly of any unauthorised use of your account.

4. Bookings

When you book a room, you enter into a booking arrangement with the relevant Business, not with RehearsalRooms. The Business is responsible for the room, its availability, its condition, its house rules, and for fulfilling the booking. Prices, durations, occupancy limits, and booking rules are set by the Business. We are not a party to the booking and are not responsible for the Business's premises or conduct.

5. Payments

Payments are processed by third-party providers (Stripe and PayPal), or, where offered, by bank transfer or account credit. Payment amounts are set by the Business and collected on its behalf. Your use of a payment provider is subject to that provider's own terms. We do not store your full card details. Where account credit or a wallet balance is available, it may be used towards eligible bookings in accordance with the applicable Business's rules.

6. Cancellations and refunds

Cancellation and refund terms are set by each Business through its own refund policy, which applies to your booking. Please review the relevant Business's policy before booking. Refunds, where due, are issued under that policy and processed via the original payment method. Nothing in these Terms affects any statutory rights you may have as a consumer.

7. Acceptable use

You agree not to:

  • Use the Service for any unlawful, fraudulent, or harmful purpose.
  • Submit false information or use another person's details or payment method without permission.
  • Make bookings you do not intend to honour, or abuse promotions, credits, or refunds.
  • Attempt to gain unauthorised access to, interfere with, or disrupt the Service or its systems.
  • Use automated means to access, scrape, or overload the Service.

8. Additional terms for Businesses

If you use the Service as a Business (or its staff or administrator), you additionally agree that:

  • You are responsible for the accuracy of your listings, pricing, availability, refund policies, and for fulfilling bookings and dealing with your Customers.
  • You are responsible for your own payment provider accounts and credentials, for the security of any details you enter, and for all fees, taxes, chargebacks, and refunds relating to your bookings.
  • You are the data controller for your Customers' personal data. We process that data on your behalf as your processor, in accordance with our Privacy Policy and the data processing terms below. You must have a lawful basis to collect and use that data and must provide your Customers with your own privacy information.
  • You will comply with all applicable laws, including consumer protection, data protection, and tax laws, in operating your business through the Service.
  • You grant us the rights needed to display your branding, listings, and content on your booking pages as part of providing the Service.

Data processing terms

Where we process Customer personal data on your behalf, we will: process it only on your documented instructions and to provide the Service; apply appropriate security measures; use sub-processors (such as our payment, email, and hosting providers) to help deliver the Service; assist you, so far as reasonably possible, with data subject requests and your compliance obligations; and delete or return such data on termination, subject to legal retention requirements.

9. Third-party services

The Service integrates with third parties including Stripe, PayPal, Google (Calendar), and email delivery providers. Your or a Business's use of those integrations is subject to the relevant third party's terms and privacy policies. We are not responsible for third-party services.

10. Intellectual property

The Service, including the RehearsalRooms name, logo, software, and design, is owned by us or our licensors and is protected by intellectual property laws. We grant you a limited, non-exclusive, non-transferable right to use the Service in accordance with these Terms. You may not copy, modify, reverse engineer, resell, or reuse any part of the Service without our prior written permission. Content you or a Business submits remains yours, but you grant us the rights needed to host and display it to operate the Service.

11. Availability and disclaimers

We aim to keep the Service available and reliable, but we provide it "as is" and "as available". To the fullest extent permitted by law, we make no warranties, express or implied, about the Service's availability, accuracy, or fitness for a particular purpose, and we do not warrant that it will be uninterrupted or error-free. We may suspend the Service for maintenance or for reasons outside our reasonable control.

12. Limitation of liability

To the fullest extent permitted by law, we will not be liable for any indirect, incidental, or consequential loss, or for loss of profit, revenue, data, or goodwill, arising from your use of, or inability to use, the Service, or from any booking, Business, or payment provider. Nothing in these Terms excludes or limits our liability where it would be unlawful to do so, including liability for death or personal injury caused by our negligence, or for fraud.

13. Suspension and termination

You may stop using the Service at any time. We may suspend or terminate your access if you breach these Terms, if required by law, or to protect the Service, other users, or third parties. On termination, the rights granted to you under these Terms end, though provisions that by their nature should survive (including sections 10, 12, and 15) will continue to apply.

14. Registering your interest

Where our website invites you to register interest in the Service, doing so does not create an account, subscription, or contract, and any indicative features, pricing, or early-access offers are subject to change and are not a binding offer.

15. Changes to these Terms

We may update these Terms from time to time. Any changes will be posted on this page with an updated "Last updated" date. Your continued use of the Service after changes are posted constitutes acceptance of the revised Terms.

16. Governing law

These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales. If you are a consumer, you may also have the benefit of mandatory protections under the law of your country of residence.
